Connecting Beds24 to BetterSTR

Create a Beds24 invite code, connect it to BetterSTR, and sync your room types and bookings automatically with a guidebook link for every stay.

BetterSTR connects directly to Beds24 so your properties and bookings sync automatically and every guest gets their own digital guidebook link. The connection uses an invite code you create in your own Beds24 account, and you choose exactly what BetterSTR can see. There’s no marketplace app, partner listing or approval. This guide walks you through creating the code, connecting it, what syncs, and what to check if something doesn’t look right.

Step 1: Create a Beds24 invite code

  1. Log in to Beds24 and go to Settings → Marketplace → API.
  2. Click Generate invite code.
  3. Tick these permissions:
    • Bookings: Read and Bookings: Write. Write lets BetterSTR save each guest’s guide link on the booking and send guest messages.
    • Bookings personal: Read, so guest names, emails and phone numbers come through.
    • Properties: Read.
  4. Leave the IP whitelist empty. If you have more than one property, tick linked properties.
  5. Generate the code and copy it. Invite codes work once and expire 24 hours after you create them, so go straight on to step 2.

Step 2: Connect it to BetterSTR

  1. In BetterSTR, go to Integrations and choose Beds24, or head straight to the Beds24 connection page.
  2. Paste the code into Invite Code.
  3. Click Connect Beds24. BetterSTR checks the code with Beds24 before saving anything, then starts syncing straight away.

Each room type becomes a property

Many Beds24 hosts keep several apartments as room types under one Beds24 property. Each of those needs its own guide, door code and TV, so BetterSTR shows every Beds24 room type as its own property. A single holiday home maps one to one. A room type with several identical units (for example ten standard rooms) shares one guide. Activity, tour and car-rental room types are left out.

What syncs, and how fast

  • Properties: name, address and map pin, maximum guests, currency, check-in from and check-out by times, descriptions, house rules, directions and location notes, plus bedrooms, beds, bathrooms and amenities from the room’s Beds24 features.
  • Bookings: guest name, email and phone, arrival and departure, adults and children, the booking channel and its reference, and the price. Cancelled bookings sync as cancelled, blocked dates stay as blocks, and requests stay pending until you confirm them.
  • Changes: BetterSTR checks Beds24 for new and changed bookings every 10 minutes and re-reads your properties once a day. You don’t need to set anything up in Beds24 for this.
  • Guidebook links: every booking gets its own unique guest guidebook link, and BetterSTR saves it onto the booking in Beds24 so you can send it from there (see below).

Optional: changes within a minute

If 10 minutes is too long, add the BetterSTR booking webhook to each property in Beds24:

  1. On the Beds24 page in BetterSTR, open Optional: get booking changes within a minute and copy the address.
  2. In Beds24, go to Settings → Properties → Access for the property.
  3. Set Booking Webhook to version 2 and paste the address.

Beds24 allows one webhook address per property. If a property already sends its webhook to another app, leave it as it is; the 10-minute check still covers it.

Send the guidebook link from Beds24

BetterSTR saves each guest’s link on the booking as an info item with the code BETTERSTRGUIDE. You’ll see it on the booking’s info items in Beds24. To send it to guests, add this template variable to the auto action message you send before arrival:

Send yourself a test with a real upcoming booking to check the link appears. Nothing else on the booking is changed. Links are added to confirmed, upcoming bookings.

Message guests through Beds24

You can also send the guidebook (or any other message) straight into the guest’s Beds24 conversation. In BetterSTR, go to Notifications → Rules, create or edit a rule, and choose Beds24 guest message under How to notify. The message goes out on the booking’s own channel, so an Airbnb, Booking.com or Vrbo guest receives it in that platform’s inbox.

Add your photo and WiFi details in BetterSTR

Beds24 doesn’t share property photos or WiFi details through its API, so those don’t sync. Upload a photo under the property’s Home Image setting and your guide and TV use it. Enter your WiFi details once on the property to power the WiFi QR code. No sync will overwrite either.

Door codes come through when a lock integration or your team puts the code on the booking as an info item with a code such as DOORCODE, KEYPAD or PIN. Otherwise, add the code on the property in BetterSTR.

Beds24 shortcodes in the guide builder

Once connected, the guide builder’s shortcode menu gains two Beds24 categories. Beds24 Fields holds property and room values such as house rules, directions, property and room descriptions, location notes, policies, check-in and check-out times and your property’s contact details. Beds24 Res holds booking values such as the booking channel and reference, adults and children, the guest’s arrival time and comments, and the unit number.

Your Beds24 template variables come through too. Template 1 to Template 8 become {{beds24_template1}} to {{beds24_template8}}, using the room’s template when it has one and the property’s otherwise. Booking custom fields become {{beds24_custom1}} to {{beds24_custom10}}, and other info items on a booking become shortcodes such as {{beds24_info_parking}}. The property details and templates are also offered to the Generate with AI tool, so it can write your guide around your real information.

Troubleshooting

  • “Beds24 didn’t accept that invite code”: invite codes work once and expire 24 hours after you create them. Generate a new code in Beds24 and paste it straight away. Check the IP whitelist on the code is empty.
  • “That invite code is missing Bookings: Read” (or Properties: Read): generate a new code with the permissions from step 1 ticked.
  • A yellow note says the guide link can’t be saved: your invite code didn’t include Bookings: Write. Everything else still syncs. To add it, click Reconnect on the Beds24 page and paste a new code that includes it.
  • A red banner says Beds24 stopped accepting the connection: the connection was removed or expired on the Beds24 side, so new bookings aren’t syncing. Click Reconnect and paste a new invite code. Your properties, bookings and guides stay as they are.
  • A booking change isn’t showing yet: changes arrive within 10 minutes, or about a minute with the webhook. If you need one now, open the Beds24 page in BetterSTR and click Sync Reservations.
  • A property is missing: click Sync Properties. New rooms are picked up automatically once a day, or as soon as a booking arrives for them.
  • Older bookings are missing: use Full Sync on the Beds24 page to pull past stays.
  • The guide link isn’t in my message: check the template variable is spelled exactly as above, and that the booking is confirmed and upcoming.
  • Disconnecting: disconnecting deletes BetterSTR’s access token at Beds24, so there is nothing to clean up on the Beds24 side.
