Team access: invite your staff or virtual assistant

Give a virtual assistant, co-host or team member their own login to your BetterSTR account with exactly the permissions and properties you choose, and remove them in one click.

Team access lets you give a virtual assistant, co-host, cleaner-coordinator or anyone else on your team their own login to work inside your BetterSTR account. You decide exactly what they can see and do, and which properties they see. They never see your billing, your balance, your integrations or your profile, and you can withdraw access at any moment.

You’ll find it under your name (top right) → Team & Owners, or from Profile → Team & Owners.

How it works

  1. Click Invite someone, enter their email address and, if you like, a label that only you see (“VA – Manila”, “Weekend co-host”).
  2. Pick a starting point (Viewer, Editor, Virtual assistant or Manager) and adjust the individual switches.
  3. Choose which properties they can see: everything on your account, or only the properties you tick, or everything carrying a tag.
  4. Send. They get an email with a link. They sign in with their own BetterSTR login, or create a free one on the way through, and the invitation attaches to that login.
  5. From then on they open Switch account on their own dashboard and step into yours. A blue bar reminds them whose account they are in the whole time.

Permission levels

The presets are just starting points; every switch can be changed on its own, before or after the invitation is accepted.

The individual switches

  • Edit guidebooks – change guidebook content, menus, images and settings for their properties.
  • Edit property settings – property details, check-in information, defaults and map locations. Creating or deleting properties is never allowed.
  • See reservations and guests – the reservation list with guest names, dates and verification status.
  • See guest contact details – guest email addresses and phone numbers. Without this, names and dates still show but contact details are blanked everywhere, including the search box.
  • See guest ID documents – the guest’s ID scan, selfie, date of birth and document number. Leave this off unless they genuinely need it.
  • Manage verification and deposits – override checks, capture, release or refund security deposits, set short codes.
  • See WiFi devices and guests / Manage WiFi – controller status and connected devices, and changing WiFi settings, portal branding, controllers and devices.
  • See WiFi guest emails – the captive-portal guest list (email addresses collected from guests) and its export. Off by default.
  • See TVs and tablets / Manage TVs and tablets – device status, and restarts, power schedules, apps, screensavers and welcome-screen settings.

What a team member can never do

See your balance or transactions, add funds, change plans, connect or disconnect integrations, edit your profile or password, send SMS, change automations, create or delete properties, create API credentials, or invite other people. Those stay with you.

Choosing properties

Three options, and they can be combined:

  • All properties, including any you add later.
  • Only the properties you tick, for a fixed list.
  • By tag. Tick one or more of your property tags and the member sees every property carrying that tag, now or in the future. Tag a new property “Auckland” next month and your Auckland VA sees it automatically.

Changing or removing access

Open Team & Owners, click the key icon next to a person to change their switches or properties, or the remove icon to withdraw access. Changes reach them within a minute, even if they are logged in and working at the time. Removing someone never touches their own BetterSTR account; it simply closes the door to yours.

Good to know

  • Everything a team member does is done under their own name. Your password is never shared.
  • One person can be invited by several hosts. After logging in they pick which account to work in.
  • Invitations expire after 14 days. Use Resend on the Team page if they missed it.
  • Team members do not need a paid plan of their own; a free BetterSTR login is enough.
