This guide walks you through setting up OwnerRez custom fields and inserting them as shortcodes in your BetterSTR guest guides. By storing property-specific details like parking instructions, lockbox locations, and emergency contacts in OwnerRez, you can update once and have every linked guide reflect the change automatically.
Step 1 — Create a Property Custom Field Definition in OwnerRez
Log in to OwnerRez.
Go to Settings.
Scroll to Workflow & Devices.
Open Custom Field Definitions.
Click Create Field Definition.
In the type dropdown, choose Property — this ensures the field stores property-specific information.
Enter a clear, descriptive name such as
ParkingDetailsorEmergencyContact.Click Save.
Naming Convention
Use descriptive field names like ParkingDetails, LockboxLocation, or CheckoutInstructions. Avoid vague labels like Test1 — clear names make it easier for your team to manage fields across multiple properties.
Step 2 — Add Property-Specific Content to the Custom Field
Go to Properties from the left-hand menu.
Select the property you want to update.
Open the Custom Fields section.
Find the custom field you just created.
Click Change.
Enter the property-specific instructions, for example: “Please park in the driveway, left-hand side, beside the stairs.”
Click Save.
Step 3 — Insert the Custom Field Shortcode into Your Guide
Open the relevant property guide in BetterSTR.
Choose Edit inline to edit the content directly.
Navigate to the section where the dynamic content should appear (e.g. check-in instructions).
Click Edit content.
Open the {{shortcodes}} dropdown.
Under OwnerRez Fields, select the custom field you created.
The shortcode will appear in your content as a dynamic field reference (e.g.
{{PXPARKINGDETAILS}}).Click Save Changes.
Step 4 — Verify the Guide Displays Correctly
Reopen the guide after saving.
Confirm the custom field content appears exactly as you entered it in the property record.
Check that the displayed text matches the intended instructions.
If anything needs correcting, update the custom field in OwnerRez — not in the guide itself.
Step 5 — Standardize Across Properties with More Custom Fields
Repeat the same process for other recurring property details. Common examples include:
Parking instructions —
{{PXPARKINGDETAILS}}Lockbox location —
{{PXLOCKBOX}}Emergency contacts —
{{PXEMERGENCYCONTACT}}Check-in notes —
{{PXCHECKINNOTES}}
Create one custom field per topic, add the relevant content to each property, and insert the corresponding shortcode into the appropriate guide section. Use the same guide structure across properties so updates remain consistent.
Step 6 — Keep a Single Source of Truth
Treat OwnerRez property custom fields as the master source for property-specific information:
When a property detail changes, update the custom field in OwnerRez only.
Your guide will pull the updated content automatically — no extra edits needed.
This eliminates duplicate edits across multiple guides and properties.
Tips for Efficiency
- Decide on a naming convention for custom fields before building them.
- Build reusable guide sections for common topics like parking, lockbox access, and emergency contacts.
- Keep all property-specific content in OwnerRez so one update flows to every guest-facing guide.
- Use inline editing to quickly place shortcodes into the correct guide sections.
- Review a sample guide after setup to confirm the dynamic content displays as expected.
